Terms of service

Last updated 17 August 2026. These terms apply to brassbooks.co.uk and the Brass product.

By creating an account, starting a trial, or paying for Brass, you agree to these terms. If you do not agree, do not use the product. Read the privacy policy as well. It is part of how the service works.

Who we are

Brass is a digital books product for UK sole traders, operated from the United Kingdom, at brassbooks.co.uk. Contact hello@brassbooks.co.uk.

English law applies. The courts of England and Wales have exclusive jurisdiction, except that we may still seek an injunction or similar relief wherever your assets are.

The product

Brass lets you keep digital income and expense records for one sole trade, attach receipt photos, import a bank CSV, log mileage at HMRC simplified rates, see a rough tax and National Insurance ballpark, export PDF and CSV, and send a read-only accountant link. We email a welcome with a temporary password, login links, password resets, a trial nudge, and reminders before the four HMRC quarterly dates.

Brass is not:

  • HMRC, or affiliated with HMRC.
  • An accountant, tax adviser, or legal adviser.
  • A filing product. We do not submit Making Tax Digital updates, Self Assessment, VAT returns, CIS, payroll, or company accounts.
  • A bank, open banking provider, or payment processor for your customers. Stripe bills you for Brass. That is separate from your trade.
  • A product for landlords, limited companies, practices, or more than one sole trade on the same account.

You remain responsible for whether Making Tax Digital applies to you, for the accuracy of your books, and for filing on time. Figures in Brass, including the tax ballpark, are not tax advice. If your affairs are messy, use an accountant.

Accounts

You must be 18 or over and using Brass for your own sole trade. One person, one account, one trade. Keep your login details to yourself. You are responsible for activity on the account.

Start with an email. We create the account, start a 14 day trial, and ask you to set a password. We email a temporary password in case you sign out before that. Then we send you to Stripe to add a card. We may refuse or close an account if these terms are broken, or if we cannot run the product for you.

Price, trial, and billing

Brass costs £9 a month or £79 a year after a 14 day free trial. Prices are in pounds sterling. If tax applies, it is included in those prices and shown at checkout. You can add a VAT number there.

  • You add a card when you start. Stripe holds it. You are not charged until the trial ends, unless you agree to something else at checkout.
  • Cancel during the trial and you pay nothing.
  • After that, the plan renews each month or year until you cancel.
  • Cancel and you keep access until the end of the period you have already paid for, unless you delete the account, which ends access at once.
  • Manage card, invoices, and cancel in Billing, which opens Stripe's customer portal.
  • If a payment fails we may retry, warn you on Billing, and suspend the books until it is sorted.

Paid fees are for time on the product. We do not have to refund a period you have already used. If we charged you in error, write to hello@brassbooks.co.uk and we will put it right.

Your books

You own the records you enter. You grant us a licence to host them, back them up, show them to you, export them for you, and show them to anyone you send an accountant link to, so we can provide Brass. That licence ends when the data is deleted.

Receipt photos are private to the account, except that an accountant link includes them. Reading a receipt happens on your device. Check the date, amount, shop and category before you save. Bank CSV import is the same: you review the lines.

If you create an accountant link, you are responsible for who you send it to. Anyone with the URL can see that trade's books and receipt photos, including lines you add later, until you stop sharing. Stop sharing kills the URL. Export stays.

Acceptable use

Do not:

  • Use Brass for anything unlawful, or to hide income from HMRC.
  • Upload malware, or content you do not have the right to store.
  • Try to break in, scrape the service, overload it, or probe it without our written say-so.
  • Resell Brass, run a practice of other people's books through one account, or pretend to be us.
  • Use Brass to send spam. We only email you about your account. You must not use any Brass address or mail as a bulk sender.
  • Create an account if we have already closed one for you for cause.

We may suspend or delete an account that breaks this. We do not have to store content that puts the service or other people at risk.

Emails

We send transactional email only: welcome, login, password reset, trial nudge, and the four quarterly reminders. We use Mailgun to deliver them. Those messages are part of the product. They are not marketing. You can stop them by deleting the account. You cannot turn off security mail (welcome, login, and reset) and still use email login.

Our content

The Brass name, logo, site, and software are ours (and our licensors'). You may not copy the product, reverse engineer it except where the law lets you, or use our marks as your own. Feedback you send us can be used to improve Brass without paying you.

Availability

We aim to keep Brass up. We do not promise uninterrupted access, and we do not promise that OCR, imports, reminders, or exports will be error-free. We may change features, fix bugs, or take the site down for maintenance. If we retire the product we will give you a chance to export, unless the law stops us.

Liability

Brass is a record-keeping tool sold to self-employed people for their trade. Use it with care. We are not liable for missed HMRC dates, wrong filings, tax you owe, fines, or advice you took from a number on the screen.

We do not exclude liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else the law says we cannot limit.

For everything else, our total liability to you in any 12 months is limited to the fees you paid us for Brass in that 12 months (or £9 if you were only on a trial). We are not liable for lost profit, lost data you could have exported, indirect or consequential loss, or substitute software.

Ending the account

You can cancel the plan in Billing, and you can delete the account in Settings. Deleting the account removes your books and receipt photos and stops Brass emails to that address. We may close an account for unpaid bills, abuse, or if we stop offering the product. After deletion, export is gone, so download a pack first if you still need one.

Changes

We may update these terms. The current version lives at brassbooks.co.uk/terms. We will change the date at the top. If a change is material we will email you. If you keep using Brass after that, you are agreeing to the new terms. If you do not agree, cancel and delete the account.
